How do I set multiple time windows for orders and favourites?

Many recipients aren't open all day: a doctor's practice takes a lunch break, a care home only accepts deliveries in the morning, a practice is closed on Wednesday afternoons. With multiple time windows you enter exactly these times – once on the favourite or directly in the order. Tour optimisation then automatically chooses the right window and plans your tour so that all times are met.
Your benefit: You no longer need duplicate favourites for different opening hours, and you don't have to enter time windows again every day.

1. Set time windows per weekday on the favourite

  1. In the menu, open Favourites and click Create favourite or the pencil icon of an existing favourite.
  2. Scroll to the Time windows per weekday section.
  3. Choose the weekday that should have its own times, e.g. Monday.
  4. For that day, click + Add time window and enter the times, e.g. 08:00 to 12:00. For a lunch break, add a second window, e.g. 14:00 to 17:00. Repeat this for every day that has its own times.
  5. Click Create or Save.

Good to know:

  • For days without time windows, the favourite's default times apply (Earliest delivery / Latest delivery).
  • Time windows on the same day must not overlap. If they do, apomap shows the notice "Time windows overlap".
  • Use the ✕ next to a time window to remove it.
  • Copy time windows: If a practice has the same times on several days, enter them only once. Then click Copy to for that day, choose the target days (or All days) and click Apply to X days. Existing time windows on the target days are replaced.

2. Create an order from a favourite

  1. In tour planning, click + to create a new order.
  2. At the top, under Select favourite, choose your favourite (1).
  3. Choose the delivery date. apomap automatically applies the time windows set for that weekday (2).
  4. Check the details and click Create delivery order.

If you change the time windows in the order, this only applies to that one order. The favourite stays unchanged.

3. Enter several time windows directly in the order

You can give any order several time windows even without a favourite. This works for deliveries, pickups and collective orders:

  1. Open a new or existing order.
  2. Enter the first window in the Time windows section.
  3. Click + Add time window for each additional window.
  4. Save the order.

In the order list you see the first time window and the note "+1 more". The order's detail view shows all time windows.

4. Set pickup times per location

If you work with several pharmacy locations, you can specify per tour when the goods may be picked up at which pharmacy:

  1. Select the orders and click Plan tour.
  2. At the bottom, open Advanced settings.
  3. For each pharmacy involved, enter Earliest pickup and Latest pickup.
  4. Click Create tour.

The pickup times only apply to this tour.

5. How tour optimisation plans

When creating a tour, optimisation takes into account all time windows of your orders and the pickup times of the locations. If an order has several windows, the window that best fits the route is chosen automatically. In the example below, the senior residence is delivered at 15:00 in the second time window because the goods can only be picked up at the Köln 2 location from 12:00.
